Cost of a Panel/Booth.

Hey, I have permission from a favorite game of mine's company to create a panel/booth or whatever it is called for this game. I emailed bbutler and am still awaiting a response, so I decided to ask a few questions on these boards if you do not mind.

How much does it cost to rent a booth or panel for all three days?

What usually goes on in one?

Is there different sizes to choose from? (Of booths/panels)

Are children allowed to attend to a booth/panel? (not like a 5 year old alone by himself, but say for example if someone has a son who's 15/16/17)

Are you allowed to bring in your own rig to show hands on action of said game and allow people to try it out?

If anyone can answer these questions, you will have my gratitude. I would also LOVE to know any more information about getting a panel/booth. Also, is it a panel, or a booth? ?_? I think Panel is the thing when you speak out to a bunch of people and not really help people get to know the game that randomly go up to you. Sorry, i'm pretty new with this, but quite serious is trying to get a booth or whatever for this game. It's a small game that really deserves the marketing MW2 and others have recieved.

    There's a button the paxsite.com so submit a panel or whatever. I'm sure whoever conatcts you back could enlighten you of all the juicy details.

    Yes, i'm still waiting for a response. I am actually not associated with the company because they are in finland. This is a benchmarking company that created this game, they're probably just going to help me with the costs and setting up the booth/panel. I'm pretty new so all help would be great. I'm probaby just going to set up some stuff so they can test out the game as it has a pretty small player base because it didn't have much advertisement.

    Panels are different from booths. A Booth is a space on the floor to show off your game. A Panel is usually to discuss the game for a set period of time with whoever wants to come listen. As far as I know, panels are free or very low cost to put on, whereas a booth would probably be fairly pricely to secure depending on the size.

    There's contacts all over the front page for panels and sponsorships (sponsors typically have booths). Best bet is to be patient :)

    Yep yep, i'm just curious is all about how would you go about setting up a Booth and planning it. All that fun stuff. This year I might not even get to it because I might seem late as PAX is in a month and a half or so. However, the game company and I are going to speak to see if I should continue on with it and see if there is any space left over for a booth this late anyways. Just waiting for the person I e-mailed to respond. E-mailed him yesterday woo.

    Yeah, at this point it might be best to start the "extremely well in advance" planning for PAX Prime 2010 in Seattle.

    Or for PAX East 2011! These sorts of things take months upon months to plan out; throwing something together haphazardly is only going to make the company in question look terrible.

    For ideas on how to stock and set up a booth, check out some photos of previous PAX Expo halls. Some companies go all out when presenting their games, and (coming from a designer/advertiser) presentation is key.

    Planning a booth will take quite a bit of work. Have the basics ready, then see how large your booth will be and what the expo will provide.

    Things that are essential:
    -- Signage! You need a large banner or sign so people know who you are/what game you're showing off
    -- Swag! Tee shirts, Demo CDs, and small giveaways like key chains or mouse pads work well. Buttons are also very popular at PAX.
    -- Flyers! Swag bags are filled with papers that give every attendee the info they need to find out more about your product. See about getting your info stuffed into the PAX swag bags.
    -- Demo! You should to have a rig or two set up where attendees can demo your game, and a monitor replaying trailers or highlight reels to draw people in.
    -- Sleek furniture! Not required, but look at the Expo hall photos and observe how the various companies set up their Demos.

    Sounds like PAX East could be really beneficial for you just from an educational standpoint. I'd suggest putting all your major planning and thinking off until then, and taking the time to really study the exhibit hall, perhaps even going up to an speaking to some of the operators for booths of other smaller games companies. They could probably give some good tips on the logistics of running a booth such as the afformentioned signage, swag, etc.

    Everything makes sense except the idea that the president of that company told the original poster to go and speak on their behalf. That part is a little odd. =)

    Noo not really speak on their behalf, but because they don't have the funds to send people over for the PAX east expo, I felt like I Wanted to contribute to the great game. I am actually going to do this as a learning experience and didn't realize how complicated it really is. I'm probably not even going to get into how complicated it looks and how much work I need to do, all tough I would have loved to do it. This IS going to be a learning experience for me.

    The pres just messaged me about funds for the booth is all, not speak on their behalf. If I actually was representing FM, I'd expect to at least be a part of FM first of all, and get a paycheck. ;P

    I think it is too late right now, and we might go for PAX Prime 2010 or possibly PAX East 2011 If they decide to create a PAX East 2011.
