I think maybe what I'll do is make the base ticket price $35, and then allow people to add however much they want for a potential raffle. I'll use the money to buy the prizes and everyone who donates gets a ticket.

in advance i would assume. last year Arco used the EventBrite website and paypal (i had to do the paypal route, since i slipped through a crack but there might be some at the door.. it sold out last year though.

150? I had fun last year, but as you even posted Arco it was way too crowded. That was my only real problem with the party. Personally if we just had the one room I'd cap it at 80. Since we have the extra room with another max of 50 people anything past 120 feels excessive. I don't think I'd go if we had 150 people sign up, but I'm sure it will be fun either way.

Are you taking donations of stuff that isn't hugely new or anything but that's in good condition again? If so, how do we go about doing this, PM you to tell you what we've got? Mail it to you? Or do we just show up with it?
Cronus, the problem is unless you max out the rooms, the individual price that each person pays is going to get pretty high.
It is going to go up. 80% of the max will mean a 25% higher price tag. I'd much rather have that than it be completely packed. And of course we could have more people. In the end that room was just too crowded. Maybe if it didn't have all 4 pool tables we'd be a little more comfortable.. There was no room to play pool anyway.

Ultimately those two things are pretty incompatible, and that's one of the things I'm working on this year. I'm trying to find a way to solve the crowding problem while keeping the per-ticket price low. $40 is basically my limit. I don't want to go higher than that. Stay tuned for details.

Napkin math shows that lowering the cap to 120 makes ticket price $43, $45 with fees, before raffle additions. That feels awfully high to me. If I didn't already know how awesome it was, I wouldn't pay $45.

As I remember, last year we had a cap of 100 for the one room? If we're getting both rooms this time and the cap is only going up to 150, then space issues shouldn't be as critical as they were then. I don't really have a good memory of the room the Enforcers used last year (if that's the second room we'll have), but it seemed similar at least.
Arco, have you checked with Taphouse folks about the possibility of shifting one or more of the pool tables for space concerns?
Also, I have plenty of stuff that might make halfway decent raffle donations. I'll sift through the PM you on anything marginal for opinions if that's alright.
Yeah. The "capacity" for the second room is 50, so we aren't really thinning things out much if we do 150. It's much smaller, with only 1 pool table and 1 HDTV on the wall.
Shifting out the pool tables is a good idea, but I don't know if they'll go for it. Pool tables are heeeeeavy.

I had a blast at last year's party and am looking forward to round 2 but I kind of gotta echo previous comments as to crowding. I don't know what the solution is but I'm confident you'll figure something out. /salute
if we could move 2 out of the bigger room, we would have plenty of space. that frees up a good 10'x8' area, but leaves 2 tables (plus the one next door) for shooting pool. i enjoyed shooting around with people last year. was a great way to spark a conversation up.
Crowding wasn't an issue if you waited an hour, although that was probably because people were rage quitting over how crowded it was. :P

Contracts are signed and everything is in place. Expect the EventBrite pre-registration page to go up sometime in the next few days, probably sometime this weekend, along with the blog for voting for appetizers, etc. Final ticket price will be decided upon then, too. I'm still weighing the higher ticket price vs. less crowding issue.
I'll be updating the OP with all the relevant details once the registration page is up, but here's a brief overview for those who are new to the thread/party:
Billiards Lounge + Club Room for a total capacity of 150 people (we'll have less).
5 pool tables for our use all night.
2 120" projectors + 1 50" HDTV, which we'll have consoles plugged into. Expect Rock Band for sure, plus other stuff.
Raffle ticket included in price, prizes donated by attendees.
Endless appetizer buffet with gourmet (delicious) food, coffee, tea, and soda.
Two private bartenders for us for the whole night.*
*No alcohol included in ticket price.
*Taphouse has a full bar and 160+ beers on tap.
Ticket price will be in the $30-$40 range, and attendees can donate more which I will use to buy raffle prizes.
Stay tuned. This party is going to rule.

I threw a wad of cash at my monitor, it didn't go through the internet at Arco like I was hoping it would so I guess I'll just find another way to throw money at you over the internet.
Any idea on what time you're going to start it this year? We want to go again but this time because of crazy flight costs we're having to catch a plane at around 11, so I'm kind of hoping it starts early enough for us to attend before having to run off to get on the plane.
It kind of depends on the PAX schedule, actually. Ideally I'd like to start it around an hour after PAX closes on Sunday. Last year it closed at 7:00, so we started at 8:00. I think. If the scheduling is similar, the timing for the party will be similar, also.
Please continue to throw cash at your monitors. While I receive no monetary benefit, the swelling of my ego inside my skull is a pleasing sensation.
