Planning a get-together in San Francisco

So, I'm trying to get a bunch of people to a MiniPAX in Northern California. First off, consider this an invite. However, I'm running into the problem of where to hold it. We have people coming down from Washington, up from SoCal, and possibly over from Tennessee. Prime accomodations would be a reasonably priced hotel/motel with small conference facilities (to use for gaming). If we could serve alcohol, there, too, it would be awesome, but I'm not holding my breath (I'm guessing we'd have to shell out for a permit from the city). So, can anyone suggest someplace cool to hold this sort of get-together?

I could also live with someplace within walking distance of a clean, reasonably priced hotel/motel, since we could game at said place, then move over to the hotel/motel for copious amounts of alcohol consumption (or vice-versa).

Optional: if someone knew of facilities similar to the ones I just described in Sacramento, that would be acceptable, too. If the facilities fit better/are substantially cheaper than what we could get in San Francisco area, I'd move it there. I just need a decent airport nearby.

EDIT: I should probably link it, huh?

Well depending on peoples ages there are hotels right near the Great Mall of Milpitas which has a Dave & Busters.

Downtown SF works and as long as people stay downtown things are a close cab ride away. Tons of bars in the area.

Downtown SJ has a lot places to stay, eat, and drink in walking distance area.

First of all, it needs a better title. Most PAXs have clever titles like SoDaPAX or FloPax. It depends on what you're doing or where you are. For example, you could call this one BayPAX.

And do it in San Jose.

There is a Marriott on North First / Airport park on Technology Dr way near 880. Down the way from the Airport terminals with shuttles back and forth. Also has light rail access to go downtown and bar hop. It doesn't seem to horrible I go by it twice a week because I have clients whose offices are next door. There is another place right across the street too.

Downtown has all the typical mega hotels Fairmont, Hyatt, Marriott, etc

Also the Double Tree on Airport Parkway http://www.doubletreesanjose.com/ has been known for hosting some mini cons.

The best thing about gatherings like these is that you don't need a real venue. Most people just go to something like a zoo or something that is town specific or see a movie and then go out to dinner. It doesn't have to be some gigantic event, unless that's what you want.

And this would be fine, if everyone were coming from within a couple hundred miles. However, I've got, like, four people from SoCal, two or more from Washington, and one from Tennessee. I don't know who else might be travelling from a long distance, but they're going to need someplace to stay, and it'll save us a bunch of money, and be a lot more fun, if we stay at the same motel/hotel.

What sort of bar/light rail access does the Double Tree have?

Somewhere with BART access would be best, imo. That's San Francisco + east bay (from richmond down to fremont). There's a bart station at SFO (for those flying in), and most downtown areas are easily accessible from BART.

Just checked, and that San Jose Doubletree isn't available the weekend we want it.

Anyone ever been to the Doubletree at 835 Airport Blvd. in Burlingame? It's apparently right near SFO. Any idea as to its BART station access?

BART access from that hotel would be through the airport proper. They do have a 24-hour airporter shuttle, but I don't know if it's for hotel guests only or what.

I live in Fremont and I'm all ears.

Try Fremont actually! We have a W Hotel - www.whotels.com - it's called "W Hotel of Silicon Valley. It's fucking swank, but because it's in Fremont, it's cheap.

    Check it out.

That would cost twice as much as most of the other places I'm looking at, plus we'd be stuck with 1 king + 1 fold-out sofa double for the rooms, instead of 2 queens.

I'll throw it out there. What's the entrance fee there, nowadays, anyhow?

I'll probably spend the whole time in the arcade (I hate rollercoasters), but if other people are up for it, it's all good. Oh, do they allow alcohol, there?
