Non-Profit Grass Roots Organization and the problems Long Post [Advice]

Hello,

I need an outsiders point of view on what to do, honestly the problems I have here is new and childish. I am tired of this because work is killing me and going to school is adding more to it, I have no time for this but I do it because I enjoy it. I am ready to leave this organization I have been in for 5 years.

To make reading easier, and I know my grammar sucks I will have summary after each paragraph.

I work for an organization I will not name nor say what we do but its non-profit and city office who sponsor/fund raiser events for kids.

Project Haunted House
So we do every year a haunted house for kids to attend. Everything was going fine since August 21st (have first email announcing it and giving a rough creative brief on what we will do). I had two meetings to make everyone be able to attend, everyone got the information, people signed up for duties and everything was fine and dandy. Since I work full time I cannot be at the construction since I get out when the organization closes but I put in charge one person who I trust and will take control when I can't over see things. I even got confirmation with the high ranking official on people who sign up to be main chairs, girl 1, girl 2(ordering), boy1 (person mention above), and boy2.

tl;dr: Non profit doing Haunted house YAY fun fun, did creative brief to know what to do and whose doing it. I can't be there all the time so I have someone I trust to take over when I can't go. Everyone is documented on what to do.



So we go back and forth on ideas and I send out the final Creative brief and projects list, everything did not respond to me about materials or request, and everyone is doing their assign job duties. People sent me their ideas, we got the funds. Everything was peachy and honestly going super!

tl;dr: Ideas shared, half way in finalizing creative brief on what to do. Everyone is starting to do their jobs. Basically no complaints or problems.


Fast forward now to end of September, I had dental surgery was totally out for few weeks and did not attend the meeting but secretary sent me the notes, and so far there where no problems in request of materials, problems or people quitting on the project. I still sent an email for anything that needs addressing or concerns to tell me at the end of September, and no problems.

tl;dr: End of September, the Creative brief is final no more changes or request. I asked a lot of times for people to send me ideas/request/etc and no one mention anything they want for this project. yay everyone is happy

Come October, I get an email from second in command high ranking official who basically told me I am not doing my job in coming to help out at the construction of the Haunted House. Even though I call to let them know work is getting hectic and I can't make it. This is the thing, I called to come in on Saturday since its a non-working day, this second in command high ranking official told me since it was raining (just in the morning not during time of phone call) I should not come. Later I found out she told everyone I did not want to come even though she said no.

tl;dr: Holy crap October comes with drama, second in command official starts shit with me because I work and cannot devote my full time at the organization. She tells me one thing but tells the members another making me look like I don't care.

Then this same official emails me again saying why we have not gotten materials for the building and again I am not doing my job. Then she got mad with me for not ordering materials with girl 2 who was in charge of one aspect of haunted house, the ordering. Never once did I mention nor is it in creative brief she would get those types of materials. I got feed up come in on Saturday, find out she was telling people I did not want to come on Saturdays. Also confronted her and girl 1(who was in charge of letting me know what we need to buy) and basically said I was lying on the job duties I assign and girl 1 basically did not do her job even though I have verbally and documented. She (official) had no other grounds to say anything. All she said, “As a president you never decide on things you always rely on the secretary” and I respond, “ I like to keep everyone inform and get their feedback that is what teamwork is about.” That is what we stood in, everyone felt that basically I was doing everything fine and they are causing problems.Ok I send an email and mention it to everyone in person I will not get those items because we never budgeted and I think its not fair.

tl;dr: Same person starts bitching at me for not getting supplies for the building which is not part of the Haunted House Brief so I told her sorry you should have said something. She starts saying shit how I am a bad president even though all the “flaws” she try to hit me I had documented proof she was wrong and basically she was assuming.


Today I get what broke the camel's back. My co-chair (boy 1) person who I trust quits. He send me a lengthy email and proof what was the reason. In short he was not allowed to work on haunted house but instead people who never signed up, they don't do anything and wasted materials (glow in the dark spray) by tagging on the walls. I emailed him that I will discuss this with the members tomorrow to address it and his work is not being ignore. Told him I appreciate all he has done and it won't get unpaid. Basically now my main man left. I emailed my members and will address this with officials tomorrow when I get out of work. I am tired, I got so much shit to deal with I feel I should quit after the Haunted House.

tl;dr: Holy shit on October 17 at 7:56pm my best man helping me quits, basically complaining about the this official who started shit on me. Said she is assigning people to work on haunted house who never where on the roster to do so, and he is not allowed to work there. He sends me a picture where they wasted some supplies. I get mad tell him your my bro don't give up its all about the kids and I send an email to my officials to address this tomorrow.


Now what do I do? How can I present myself tomorrow when we have a meeting, I am out of words? I am ready to say I don't want to be part on this organization that honestly we broke records no other chapters have. This official I have problems, has emailed me how I am the worst president, told people I have diarrhea problems, and basically said I need to take responsibilities even if missing work. HELLO! This is club that gets together when they can to do things for kids? I am ready to quit because she has gone to areas that I feel cannot remedy especially humiliating me in-front of people which I just ignore but this last situation did it for me.

    Honestly, if you're doing the best you can, go above her head. Find someone who can kick her square in the pants, because none of this shit is right. :(

    I do hope things get better.

    Edit: On rereading, I read it too fast the first time: Isn't there someone who is above you? Point out that this person is causing problems, bring all of your issues to someone above you. For her... really, the only thing you can do is stick it out and hope that she gets booted from the group, or leave.

    It really all depends on how much you enjoy what you do for charity work.

    Here a small portion of the email from my best man to show you how upset he was


    since she is the boss, she said it wasn't her problem because she wasn't in charge of it. If she isn't in charge of it then she shouldn't be assigning people that ask her if they can work on it to work on it. I'm tired of her bullshit and I'm tired of her letting other people waste my time so I'm sorry dude, but I'm done with this.


    The sad part is I am a volunteer and this lady I am having problems is an employee so only thing I can do is talk to her boss, and write a letter to the chair/head of our chapter organization. I just like this guy too its been this year she started to be like that, was not like that before.

    ...print out all her e-mails and go through them one-by-one with your team?





    considering her "private" e-mails to you are critical to how you've handled the situation so far and affected your decisions in regards to the group, it's only fair that the rest of the group see exactly what this person has been talking about to you. and is there no way to have this person taken out of the project for disrupting things? even if the only thing you can do is write a letter, you should do it. it's no good for the organization to have someone on their team who is as disruptive as you've been describing. i'm also guessing that perhaps this person may feel threatened by your role.

    you also need to bring focus back to the project; i'm guessing the haunted house is for Halloween?
