SoufPAX: June 8-10, Chapel Hill, NC

edited May 2007 in Social Entropy++
Okay, I finally decided that unless I just pick a date for this crap it's never going to happen, so here goes.

SoufPAX!

When: Friday, June 8 - Sunday, June 10
Where: Chapel Hill, North Carolina (this is a google maps link)

Why in Chapel Hill, and not somewhere else? Because I'm putting this together and I live here. 'nuff said.

Hotel:
Holiday Inn Express
6119 Farrington Rd
Chapel Hill, NC
(919) 489-7555

This is the hotel closest to where I live. I called them to see if they allow quad occupancy, and they do, for $110 a night. That comes out to about $30 a night for each person, assuming you do quad occupancy (if you're smart, you'll do this).

If you're going to come, you should group with three others and make a hotel reservaton as early as possible, so you know you've got everything booked. Use this thread to pick out your buddies.

Airport

If you're crazy enough to fly, book your tickets to RDU, Raleigh-Durham Int'l Airport, which is 25-ish minutes from my house, and 12-ish minutes from the hotel. We can work out a pickup and dropoff schedule if anyone flies in, but make sure you book your tickets for a Friday afternoon arrival and a Sunday afternoon departure--don't make anyone miss out on the fun to drive your stupid ass around.

Events Schedule ?

I'm not even going to try to work on this until we get an idea of how many people are definitely going to attend. If there's 5 people, we'll just hang out and do whatever we want. If there's a very large number, we can talk about renting a room at the convention hall, or something. We'll figure this out soon-ish, hopefully.

A rough plan is a Friday night hangout session with a group dinner, a Saturday morning meetup followed by a full day of games and shit (broken by a get-it-whenever-you-want-with-whomever-you-want lunch), then a group dinner and a Saturday night movie. Sunday will be a morning meetup followed by more games, lunch whenever, and people leaving whenever they have to.

Saturday will be the big day to attend for, so anyone who's within easy driving distance and/or can only attend one day should plan on Saturday.

If we have too many people to fit into one restaurant at a time, the group dinners can be split between restaurants easily. Chapel Hill has a ton of great places to eat.

What You Should Bring With You

Money: enough to pay for lodging and all the meals you're going to eat, and the movie, and some parking stubs, and maybe some more just in case. Aim for at least $100 on top of lodging. The more the better, because you never know--you might want lobster, or you might run to EB to buy a game, or something like that.

Car: hopefully we'll have at least one car for every four people. The more cars the better. For best results, we can work out driver/passenger arrangements ahead of time, so there's never any confusion as to who's driving who when we move en masse (to dinner or to the movie).

Mobile phone: Make sure you bring it, and make sure it's charged. I'll PM my phone number to everyone attending at some point, and anyone who's going to share a hotel room or a car should definitely have each other's numbers too.

Nintendo DS: this is important enough that it's getting a mention all by itself. A whole weekend around other DS owners? Can you say wireless play? Yes you can. Don't forget any of your games, or your charger!

Video Games: consoles and controllers too. Honestly, this goes without saying. Don't forget any of the cords!

Television: We may need some extra TVs, depending on how many people show up and where we do our gaming. If you're driving and can bring a TV, keep this in mind.

Tabletop games: Preferably stuff with minimal time and space required. Don't bring your 40K army (needs too much room!), or Axis & Allies (takes too much time!), or your D&D sourcebooks (we've only got a weekend together!) Think Settlers of Catan, or Magic: the Gathering, or other light fare.

everything you'd bring with you on any other trip: clothes, prescription drugs, contact lens case, etc. You're smart, you know what to bring when you travel.

Rules

Yep, there's gonna be rules. I don't want to have to worry about any liability as the organizer of this thing, and I'm putting these in place in case a huge number of people attend. If only five people show up, then they won't really be necessary--I just want some failsafes in case we have dozens of attendees.

1. NO DRUGS OR ALCOHOL

Lame, right? Yeah, but it's the best way. I don't care if you're of age--I'm of age and I'm not going to drink this weekend. I want high-schoolers to be able to convince their parents to let them come to SoufPAX by showing them this thread and saying "see? there won't be any drugs or alcohol". So, that's that. If you can't make it through a weekend without a gin & tonic or a fat spliff, then don't come.

...and actually, that's the only rule I've thought of so far, but I reserve the right to iinvent new ones. Obviously I don't really have any power over anybody so I can't enforce anything, but I will certainly kick you out of my house (or whever we are) if you're doing something bogus, and you will be left to fend for your fucking self.

So that's that, for now. I'm sure I'll edit this post many times, but for now... who's coming?

No alcohol doesn't mean a few people of age can't get together and hit a bar or two does it? Just no alcohol at the hotel right?

I'm not your keeper, so I can't control what you do, but I want to make sure all the planned events are underaged-friendly.

If you really want to hop off to the bar, I wouldn't be able to stop you anyway. :P

If I see a few familiar faces sign up, I'll be coming. I can't drive, though. I live in Mocksville (half an hour from Winston) so I should be "on the way" for someone. Assuming I decide to go, I'll pay (or help pay, if you drive a goddamn bus or something) for whoever I ride with's gas.

    About that one I bolded...

The MTG 2007 Southern Atlantic Regionals event is on June 9th this year (in Concord, NC again, for those who went last year). As a result, I will be unable to attend SoufPAX, as I will most likely be judging at that event. :(

Drag... I knew there'd be some conflicts with any weekend I picked, but I figured you and Tigress would be among the most likely to show up.

    Of fuck yes

I have been waiting for this for months, K
    Months

I'm so in. And yet again, I might be flying myself in, so if there's anyone in the Lynchburg/Roanoke/Charlottesville, VA area who would need a ride, let me know. Even if I drive I can take up to 3.

By the time I got there I had taken way too many caffeine pills. I puked a lot.

The drive back (also made in a 17 hour day) was much smarter and easier.

I'm guessing you've never been to Regionals before. This is a day-long event; registration starts at 7am and the final round probably finishes at or after 10pm (if 2005 was any indication; I didn't attend last year). As a member of the judging staff, I'd probably need to report there at 6 or earler (which is why I plan on taking Friday the 8th off and grabbing a hotel room over there), and would be on my feet for most of the day. I plan on needing Sunday just to recover. :P

And while it is only a couple of hours away from Chapel Hill, it's also in the wrong direction, as I live in Burlington.

Captain K: Tigress might still be able to attend, but this is also the weekend after Animazement so I dunno how likely it is that she will have the weekend off. Her job situation is in flux at the moment anyway, but that's a separate issue.
